How to Hire Your Best Employee
One That Won't Ask for Benefits, Sick Leave or Vacation!
Your phone system can help your employees delight your customers - even when they're away from the office!
Most companies today rely on all of their employees to perform multiple functions. If you are one of them, you can ensure your customer's calls are always answered promptly with an easy-to-navigate auto-attendant. An auto-attendant can be the business-saving back-up - or the first point of contact - you've been looking for. The key is in the programming - no one likes to get caught in a recorded loop!
Combine auto-attendant with a regularly updated voice mail system and you can be assured that all of your calls are answered - and routed - in a timely manner. Train your employees to make a habit of leaving daily and informative outgoing messages - and returning their calls within a specified timeframe - and your customers will never complain they had to leave a message.
Your phone system can improve your responsiveness to customers with service issues. A customer with a problem usually prefers to speak with a live person, not a recording. Consult with your vendor about setting up hunt groups within your customer service department so your customer's service call is always answered. If only one person can solve their problem, make sure the assigned person is notified as soon as possible by installing the automatic callback function, which will immediately ring back to the person who took a message when the called party hangs up.
There are a number of different ways you can be notified of an important call while away from your desk or otherwise occupied. Two common ones are overhead paging and whisper page.
Overhead paging can let a sales person or customer service representative know a customer is on the line.
Just be sure the volume is at an appropriate level so it does not disturb the work of other employees.
Executives can avoid intrusive interruptions while in meetings or on another call by using whisper page. The person transferring the call can let you know who needs to speak with you without disrupting your current activity.
